How to Create a Work Ticket

In an effort to continuously keep you all informed on the best and most efficient ways to use our technology, we've been working in Google to develop good self-paced training/information site. I'm pleased to let you know that we've finally gotten one up, and it is located here: http://googapps.stephenscountyschools.org

Please look over the site and don't hesitate to provide us with feedback. You will find more information there on the use of all Google Apps we currently have enabled for Stephens County School System.
I hope you all are having a great, relaxing summer, and am looking forward to another great year starting in the fall.

After a couple of weeks of using Google Apps, I thought it would be a good time to update the Frequently Asked Questions. So here goes:


Is there a way to force my account to log-off after a certain amount of inactivity?
No. Because Google is purely web-based, there is not a way to force log-off after a certain amount of time. There are, however, some steps you can take to make sure that your mail is secure:

  • Don't check the "Stay Logged In" box on the log-in screen. Checking this box will keep your account logged in after you close and reopen your web browser.

  • Don't click "Save My Password" after logging in.

  • If you're in the lab, log into the computer using your account (not a student account) and log-off of the computer when you're done.

  • Don't, for any reason, let students use your account on the computers.

  • If you're in your classroom, and you're going to step away, lock your computer. You can do this by pressing the Windows Key and the "L" key at the same time (Or by pressing CTRL+ALT+Delete and selecting "Lock Computer").

  • Change your password regularly; I try to change mine monthly.

I don't seem to be getting all of the emails I was getting before; are emails still going to FirstClass?
No, all external emails are going straight to Google now. The only emails that will be bouncing around inside FirstClass will be from inside FirstClass. If you're not getting all of your emails, here are some things you can do:

  • Make sure you have updated your email to reflect firstname.lastname@stephens.k12.ga.usfirstname.lastname@stephenscountyschools.com, or firstname.lastname@stephenscountyschools.org

  • Check your "Spam" box inside Google. It will be located in the list of folders on the left side of your Inbox.

  • Check the emails from me that have the subject of "Quarantine Summary..." These emails will come out daily and will have a list of the emails that were quarantined (for whatever reason). You will be able to see the sender and the subject line, and will be able to go ahead and deliver them to your inbox.

  • If you still can not find the missing emails, let me know and I'll see if I can help find them.



I get the Classifieds emails, but I don't want them cluttering up my Inbox. How do I fix that?
We have created how-to videos and posted them to the district website here.  The video you want to watch is the one on filters and labels.

I'm not getting Classifieds, or emails from my school. How can I get on that list?
There are two ways to be put on the list: 

  • You can go to the group page and request to be added to the list

  • You can email the tech for your school and he/she will be able to add you to the list

Archive or Delete, what's the difference?

  • Deleting the messages moves them from your Inbox to the Trash Can and they will remain there for approximately 30 days.

  • Archiving the messages moves them from your Inbox to the All Mail box and they will be kept until you delete them.

Overall this change has been a smooth one, and I thank you all for working with us throughout the transition.

By now, everyone should have had a chance to log in and familiarize themselves with the new email system. Please remember that after March 26th all incoming messages will be coming into the new email system. Over the course of the last few weeks we have quite a few questions about this process, and I thought it might be good to answer those questions en masse:



Q. Why are we changing email systems?

A. In the current economic environment we, as a school system, are charged with using our resources in the most efficient manner. While FirstClass is a very good email system, it is also very expensive. The technology committee had a chance to look at different options and Google Apps for Education was chosen as the replacement for FirstClass.



Q. Why are we changing now (mid-semester)?

A. This time of year works out well for 2 reasons: 1) The technology staff is on-site and will be able to help you through each step of the transition. 2) We are not starting a new school year, semester, or gearing up for CRCT or EOCT, so the impact should be minimal on the education of the students.



Q. Will our current email addresses continue to work?

A. Yes, yourfirstname.yourlastname@stephens.k12.ga.us and yourfirstname.yourlastname@stephenscountyschools.com will continue to work indefinitely. After March 26, you will receive those emails into your Google Apps mailbox. All other addresses will cease to work, as those listed will have been your primary addresses for nearly 4 years.


Q. Where do I go to login to the email system?

A. You can login at http://mail.stephenscountyschools.org. We will be putting a link on each school website this week.



Q. Will we get training on the new email system?

A. Yes, we have developed training videos that will be published to the technology page on the district site (http://www.stephens.k12.ga.us/technology). Please remember, it is Google, and there are numerous training resources available (for free) on the internet.



Q. Will we still have the Classifieds, and other group mailboxes?

A. Yes, the group mailboxes are setup at http://groups.stephenscountyschools.org



Q. Will we have access to our old content in FirstClass?

A. We have made every preparation to allow access until the end of June to the FirstClass content. However, it is a hosted system and they are aware that we won't be purchasing FirstClass again in the coming year.



Q. My website is in FirstClass, will it still work?

A. That depends on the hosting company and FirstClass. Best case scenario, your sites will continue to work until the end of June. We have been working with the media specialists and the webmasters for each school to get everyone an account in Schoolloop to allow pages to be built there. It (like Google) is a free system that we will continue to use for the foreseeable future. Schoolloop is also much easier to use and put content into for people who are not comfortable with HTML code and web-site design.





We understand that changing a major communication system is not easy on the end-users and are working very hard to make this transition as painless as possible. If you have other questions, or suggestions, please don't hesitate to email me directly.
